Summary

We are seeking a detail-oriented, organized, and proactive Administrative Assistant to support our Litigation Department.

The ideal candidate will play a key role in the day-to-day administrative operations, ensuring smooth workflow and efficient coordination within the department. This position requires discretion, excellent organizational and communication skills, and a strong ability to multitask in a high-paced legal environment.

Responsibilities

  • Monitor and record daily attendance of litigation department lawyers in the electronic agenda/calendar system.
  • Send and receive emails, ensuring timely and professional communication with clients, courts, and internal teams.
  • Assist in drafting legal documents, including legal memos, reports, briefs, and correspondence under the guidance of the lawyers.
  • Perform fast and accurate typing of legal drafts and related documentation.
  • Maintain and regularly update the client list, including both current and potential clients, in coordination with the legal and business development teams.
  • Organize and manage legal documents, both physical and electronic, including case files, court submissions, legal notices, and contracts.
  • Schedule and coordinate meetings, hearings, and deadlines for the litigation team using shared calendars and task management tools.
  • Prepare and maintain internal reports, tracking ongoing cases, litigation timelines, and court dates.
  • Handle confidential information with discretion and maintain data integrity in all documentation.
  • Coordinate with court messengers or external legal representatives for the filing and delivery of documents.
  • Order and manage office supplies related to the litigation team’s requirements.
  • Support new client intake processes, including gathering preliminary documentation and assisting with KYC procedures if required.
  • Liaise with other departments (such as billing, HR, or other legal departments) for interdepartmental tasks.

Qualifications

  • Proven experience as an administrative assistant, preferably in a legal or litigation environment.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with document management systems.
  • Excellent typing speed and accuracy.
  • Strong organizational and multitasking abilities.
  • High level of discretion and professionalism in handling confidential and sensitive information.
  • Excellent written and verbal communication skills in Arabic are essential; proficiency in English is an advantage.
  • Ability to work independently as well as collaboratively within a team.
  • Familiarity with legal terminology and litigation procedures is considered a plus.
